Recertification Flow

Given all previously mentioned configuration is in place and relevant jobs and permanent workflows are running, the process will execute in the following way:

  1. New, one-time audit is created by Administrator in the UI or Create Scheduled Certification Audit permanent creates a new audit on Audit Next Creation based on pre-configured template

  2. Attestation Policy Compiler jobs runs – on Start Date, audit is compiled, snapshot of the recertification data is created and business requests are generated. Compilation might take up to several hours, depending on the volume of the data and overall performance of the system.

  3. When business requests are generated, Business Request Notification Inbox Claim Job, Business Request Notification Inbox Drop Processor, Notification Report Subscription Compiler will send out e-mail notification as per configuration.

  4. Approver can make decision on the recertification tasks in MyTasks until the Due date. 4a. After decision is made, recertification item goes to fulfillment. 4b. Business Request Fulfillment Job picks up items that are ready for fulfilments and marks the item as Completed. The action that is being executed depends on the decision (e.g. Revoke, Disable, Delete)

  5. Business Request Approvers Refresher jobs updated approvers on the open tasks in case of a change (e.g. change of the line manager for the person, change of role owner, etc.). By default, approvers are being refreshed every 24 hours. • Additional notifications might be sent out based on Escalation policy configured for the step

  6. After the Due date specified, items will be either cancelled or they will be closed by Close Revoke Recertification Unreview Task After Audit Due Date permanent workflow if its enabled with the decision specified on the recertification policy. 7a. In case item is cancelled, no further actions are taken – assignment is kept, recertified resource is not disabled or deleted. Business Request status is set to 'Cancelled'. 7b. In case of auto-close by permanent workflow with specified decision, items go to fulfillment and they are processed. Result depends on the decision.

  7. System might send further notifications, depending on the business request notification policy configuration for recertification tasks that have been completed.
